PRIVACY POLICY

Your privacy, gently kept.

We collect only what we need to look after you, and we treat it with care. This policy explains what we collect, why, who helps us handle it and the choices you have.

Who we are

Solace Rejuvenation Lounge is operated by Amy-Nicole Zeegers (ABN 64 305 979 054) at 18A Webb Street, Margate QLD 4019. In this policy, “Solace”, “we”, “us” and “our” mean Solace Rejuvenation Lounge. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

When you book or enquire. Your first and last name, email address and mobile number, the experiences, date and time you choose, and anything you decide to tell us in a note, such as comfort preferences or questions.

Health information you choose to share. You may tell us about things such as pregnancy, a medical condition or an injury so we can look after your comfort during a visit. We collect this only with your consent, use it only to care for you during your visits and keep it private. We do not provide medical diagnosis or treatment.

Payments. Online payments are processed by Stripe. We receive confirmation of your payment and limited details such as the amount, the payment method type and the last four digits of a card. We never see or store your full card number.

Solace Society membership. When membership sign-up opens, we will also keep your membership, direct-debit and moment records. Direct debits are handled by Stripe.

Messages and updates. The contact and subscribe buttons on our website open your own email app, so we receive whatever you choose to send us by email. If you subscribe, we use your email address to send you Solace updates.

Reminders. If you ask for SMS reminders, we use your mobile number to send them.

Our website. We do not use advertising or analytics cookies. Your browser remembers, for that visit only, whether you have closed our welcome message. Like all websites, ours receives technical information such as your IP address and browser type, which our hosting provider uses to deliver the site and keep it secure. Our fonts load from Google Fonts, so Google also receives your IP address. To prevent misuse of online booking, our booking system keeps a one-way scrambled code made from your IP address, which changes every day and cannot be turned back into the address.

How we use it

  • To arrange, confirm, change and run your visits, and to take payment
  • To send booking confirmations, receipts, reminders and important updates about your visit
  • To reply to your questions and requests
  • To look after your comfort and safety while you are with us
  • To keep the business, tax and payment records the law requires
  • To send news and offers, only if you have asked for them. You can unsubscribe at any time.

We will not use your information for an unrelated purpose without your consent, unless the law requires or allows it.

Who helps us handle it

We never sell your personal information. We share it only with trusted providers who help us run Solace, and only as much as they need:

  • Stripe: card, wallet, Afterpay, Zip and direct-debit payments
  • Supabase: our booking database, hosted in Sydney, Australia
  • Cloudflare: our website hosting and security
  • Google Workspace: our email
  • Twilio: SMS reminders, if you choose them
  • An email delivery provider that sends our booking emails

We may also share information with our professional advisers, such as our accountant, or when the law requires it.

Vibe Wellness. Vibe Wellness, our reformer Pilates partner, is a separate business also operated by Amy-Nicole Zeegers. We do not share your Solace information with Vibe, or connect your Solace and Vibe records for partner benefits, unless you ask us to and agree.

Information stored overseas

Our booking database is in Australia. Some of our providers, including Stripe, Cloudflare, Google and Twilio, may store or process information in other countries, including the United States. We choose providers with strong security and privacy protections.

Keeping it safe

We use reputable providers, secure connections and private access controls, and only the people who need your information to look after you can see it. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

How long we keep it

We keep booking, payment and tax records for at least five years, as Australian tax law requires. When we no longer need information, we delete it or remove anything that identifies you.

Your choices

You can ask to see the personal information we hold about you, or ask us to correct it, at any time. We will respond within 30 days. You may make a general enquiry without giving your name, but we need your name and contact details to make a booking.

Questions or concerns

If you have a question or a privacy concern, please email [email protected], call 0474 217 265 or write to us at 18A Webb Street, Margate QLD 4019. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
